Weatherford College
You have these kids, and their goal is to transfer out of here. These papers are what has to follow them.
Ryleigh Hyles, Athletic Trainer, Weatherford College

In five years her program added five sports and nearly 100 athletes. Her advice: get something simple before everything grows past what you can keep up with.

Built for the demands of college athletic training

A two-year college runs on a shorter clock than a four-year program. The roster turns over faster and the paperwork never finishes.

Document care wherever you’re working, instead of relying on memory!

When documentation waits until you are back at a desk, the day has to be recreated rather than recorded.

Document on the sidelines, off the court, or on the bus, while it is still the thing you just saw.

Because many athletes transfer away, keep athlete records organized.

“It is a weird feeling getting these kids and knowing that your goal is for them to leave you in a very short time.”

Customer, verbatim

Records sit on the athlete’s profile and go to the next school with them. Weatherford names sickle cell testing as the case in point: results that once held athletes back from visits now travel with the athlete.

Make managing new athletes easier.

Intake, physicals, clearances and baselines are not a once-every-four-years job here. Programs grow, too: Weatherford added five sports and nearly 100 athletes in five years.

Weatherford College

Forms go out before athletes arrive and come back attached to the right athlete, however many of them there are this fall.

Concise reporting helps prove value, without extra work.

Budget conversations at a two-year college are short, and they come round every year.

Reporting comes out of documentation you have already written, not a spreadsheet you build in June.

A few quick answers

Who we are, how the offer works, and what happens after you reach out. If your question is not here, bring it to the 15-minute conversation.

What is Healthy Roster?

We make the electronic medical record Athletic Trainers use to document care: injuries, forms, communication, referrals and reporting on one connected platform. Sway, the concussion testing product, is ours as well. We work with high schools, colleges, hospital outreach programs and employers.

Do I need both products?

No. They are sold separately and plenty of people run one without the other. They are better together because a concussion baseline and an injury note end up on one platform instead of in two systems, but that is your call after you have seen them.

How does the free offer work?

Sign a qualifying agreement for 2027–28 before December 31, and use what you signed for free until that contract starts. We would rather you began mid-year, with time to learn it before next fall, than signed in August and learned it during the season.

When could we actually start using it?

As soon as the agreement is signed. The point of the timing is winter sports: getting you set up while the season is underway rather than waiting for next fall.

How does Healthy Roster protect athlete information?

Healthy Roster is SOC 2 Type II compliant, with controls audited by independent third-party security experts, and HIPAA and FERPA compliant for handling health and education records. Data is encrypted in transit and at rest, and multi-factor authentication is required for remote access. Tell us who reviews software at your college and we will bring the documentation to the first conversation.

What happens after I fill in the form?

Someone from our team reaches out to set up a 15-minute conversation.

On the fence?
If anybody is on the fence about Healthy Roster, I would just say get the demo, listen to that rep, and really consider how much simpler it is going to make keeping track of everything for these athletes.
